This privacy policy applies to personal information we collect in connection with our website, platform and services, including our software Solution that integrates with Third Party Services such as Google Ads.

Types of Personal Information We Collect

- account and profile information, including login credentials, OAuth access and refresh tokens issued by connected Third Party Services such as Google Ads, which we store in encrypted form, and preferences;
- payment and billing information;
- information about your business, including details of your advertising accounts and related activities;
- data obtained through integrations with Third Party Services, including Google Ads, such as account performance data, campaign data and related analytics;
- technical and usage data, including IP address, device information, browser type, pages viewed, access times and referring website addresses;
- information you provide in communications with us, including support requests, feedback, surveys and promotions;
- information about your use of the Solution, including actions taken within the platform and implementation of recommendations;
- information about third parties that you provide to us, including where you grant us access to accounts or data on their behalf;
- any other personal information you provide to us or that we are required or authorised to collect by law;
- information you provide in messages or conversations within the Solution, including any messages exchanged with our AI-assisted optimisation features, which are transmitted to our AI service provider for processing as described in the Automated Decision-Making and Google API Services sections of this policy; and
- outputs generated by us about your account or business, including grades, scores, recommendations, AI-generated ad copy, search-term classifications and session report narratives.
Personal Information of Minors
Our services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from individuals under 18 years of age.
If you are under 18, you must not use the Solution or provide personal information to us without the consent of a parent or guardian.
If we become aware that we have collected personal information from an individual under the age of 18 without appropriate consent, we will take reasonable steps to delete that information.
Parents or guardians who believe that a minor has provided personal information to us without their consent may contact us using the details set out in this privacy policy.
How We Collect Personal Information
We may collect personal information directly from you or from third parties in a variety of ways, including when you:
- register for an account or subscribe to the Solution;
- connect or authorise access to Third Party Services, including Google Ads, via OAuth or other integration methods;
- use the Solution, including when data is accessed, generated or processed within the platform;
- contact us through our website or communicate with us via email, telephone or other channels;
- complete forms, surveys or provide feedback; or
- interact with our website, services, content or advertising.
We may also collect personal information from third parties where you have authorised us to do so, including from Third Party Services such as Google Ads and from your authorised representatives or service providers.
We may automatically collect certain information when you access or use our website or the Solution, including IP address, device information, browser type, usage data and interaction data, through cookies, analytics tools and similar technologies.
We use Google Analytics on our marketing website at www.viacmo.com.au to understand how visitors find and use our public pages. Google Analytics uses cookies and similar technologies to collect information such as IP address, device type, browser, pages viewed and referring source, and may transfer that information to servers located outside Australia. We do not use Google Analytics or any other third-party product analytics tool within the Solution itself at app.viacmo.com.au, where we limit data collection to that which is necessary to operate the Solution and to detect errors.
Cookies
We use cookies and similar technologies in different ways across our marketing website and our product platform.
Marketing website (www.viacmo.com.au): we use cookies for analytics, including Google Analytics, to understand how visitors interact with our pages. These cookies may collect information such as IP address, device type and pages viewed. You can control or disable these cookies through your browser settings or, where available, through our cookie consent banner.
Product platform (app.viacmo.com.au): we use only cookies that are strictly necessary for the Solution to function, including authentication cookies that keep you logged in and security cookies used during the OAuth process. We do not use cookies for advertising, marketing or third-party tracking purposes within the Solution.
If we introduce additional non-essential cookies in future, we will update this policy and provide an appropriate consent mechanism.
Use of Your Personal Information
We collect and use personal information for the following purposes:
- to provide, operate and maintain the Solution, including generating reports, insights, scores and recommendations;
- to integrate with and access data from Third Party Services, including Google Ads, where you have authorised us to do so;
- to manage your account, Subscription and billing, and to provide customer support;
- to communicate with you, including sending administrative messages, updates, security alerts and service-related notices;
- to improve, develop and optimise the Solution, including through analytics, machine learning and other data processing techniques;
- to monitor usage of the Solution and ensure compliance with this privacy policy, our Terms of Service, and any applicable agreement with you;
- to comply with legal obligations, resolve disputes and enforce our agreements;
- to send you marketing and promotional communications in accordance with applicable laws, including the Spam Act 2003 (Cth), and you may opt out at any time;
- to assess and respond to enquiries, feedback or employment applications; and
- for any other purpose disclosed to you at the time of collection or as otherwise permitted by law.
We may disclose personal information to third party service providers and subprocessors who assist us to provide, operate, secure and improve the Solution. These include hosting providers, Google Ads services, payment processors, AI services, email delivery providers, workflow automation providers and error monitoring providers, some of whom may be located outside Australia. A current list of our subprocessors, including the country in which each one processes personal information, is available at https://www.viacmo.com.au/subprocessors. We will update that list as our service providers change. We will take reasonable steps to ensure that overseas recipients handle personal information in a manner consistent with the Australian Privacy Principles.
Automated Decision-Making
We use automated systems, including algorithms and analytics tools, to process personal information and generate insights, reports, scores and recommendations in connection with the Solution.
These automated processes may analyse data obtained from you and Third Party Services, including Google Ads, to assess account performance, identify issues, and suggest optimisations.
These outputs are generated automatically and are general in nature. They are intended to assist you and do not constitute advice or decisions made on your behalf. You are responsible for reviewing and determining whether to act on any outputs or recommendations.
We do not make automated decisions that have legal or similarly significant effects on you without human involvement.

To generate certain outputs — including ad copy suggestions, search-term classifications and conversation features in optimisation sessions — we use third-party AI services provided by Anthropic. Data sent to Anthropic for processing is subject to Anthropic’s standard commercial terms, which do not permit Anthropic to use the data to train its models. We have configured our integration to disable optional data-sharing settings.
Google API Services
Our use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, we use data accessed via Google Ads APIs solely to provide and improve the Solution’s features that are visible to you, including account analysis, performance reports, recommendations and, for eligible Subscription Tiers, execution of changes you have approved.
We do not transfer Google user data to third parties except as necessary to provide or improve those features, to comply with applicable law, or as part of a merger, acquisition or sale of assets with appropriate notice. We do not use Google user data for advertising purposes, and we do not allow humans to read Google user data unless we have your affirmative agreement, the data is required for security or legal purposes, or the data has been aggregated and is used for internal operations consistent with the Limited Use policy.
Data Retention
We retain personal information for as long as your account is active and for a reasonable period after Subscription termination to support reactivation, billing reconciliation and dispute resolution. Following 90 days after Subscription termination, we will de-identify or aggregate your personal information. De-identified or aggregated data — which can no longer be used to identify you — may be retained indefinitely for the purposes of improving the Solution, including its scoring models, recommendations framework, benchmarking and machine learning processes. You may request earlier deletion of your personal information by contacting us using the details set out in this policy.
We will take reasonable steps to delete or de-identify your personal information within a reasonable timeframe, except where we are required by law to retain it, for example to meet tax, financial reporting or legal obligations.
Security
We take reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access, modification or disclosure.
We implement a range of administrative, technical and physical security measures, including access controls, authentication processes, secure data storage practices, and encryption of sensitive data at rest. This includes encryption of OAuth access tokens used to authorise our access to your connected Third Party Services, so that those tokens cannot be read in the event of unauthorised access to our database. For Google Ads integration, we use Google’s OAuth authentication. We do not access, see or store your Google account password — only the access tokens that Google issues to authorise our access to data you have explicitly approved.
Despite these measures, no system or transmission of data over the internet can be guaranteed to be completely secure. You acknowledge and agree that we cannot guarantee the security of your personal information.
Data Breach Notification
If we become aware of an eligible data breach affecting your personal information, we will notify you and the Office of the Australian Information Commissioner in accordance with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). We maintain internal procedures to detect, contain, assess and respond to suspected data breaches in a timely manner.
